What Is Availability Rules?

Availability rules are the settings that control when people can book time on your calendar. They go far beyond simple "working hours" — modern scheduling tools let you define layered rules that shape exactly when and how you're bookable.

Types of availability rules

  • Working hours: The baseline — which days and hours you accept bookings. Example: Monday-Friday, 9am-5pm.
  • Date overrides: Exceptions to your regular schedule. Block specific days (holidays, vacations) or open up normally-closed times (a Saturday for a special event).
  • Minimum notice: How far in advance someone must book. A 24-hour minimum notice prevents same-day surprises.
  • Maximum advance: How far into the future people can book. 30 days is common — it prevents bookings 6 months out when your schedule is uncertain.
  • Buffer time: Automatic gaps between meetings.
  • Daily/weekly limits: Cap the number of meetings per day or week to prevent overload.

Why granular rules matter

Without granular availability rules, you lose control of your calendar. Time sovereignty — the ability to control when and how you work — depends on being able to express preferences like "no meetings before 10am," "Fridays are for deep work," or "limit client calls to 4 per day."
